Learn how the Hostaway Calendar works, including calendar views, reservation display, color coding, and how to identify different reservation statuses at a glance.
Calendar Views
In the Hostaway Calendar, you can use three different calendar views:
- Multi — a calendar view that provides a broad overview of all your listings.
- Monthly — a calendar view that displays a selected month for a selected listing. You can choose which listing and month you would like to view.
-
Yearly — a calendar view that displays the entire year. You can select the listing, and if you click on any date, you will be redirected to the Monthly view.
Once you have connected your channels and listings, your Hostaway Calendar becomes your main calendar to work with.
Multi Calendar
The Multi Calendar is useful when managing multiple properties.
In the Multi-view, you can:
- View all reservations for all of your listings for a selected month.
- Order listings by listing order or by name.
- Filter which listings you would like to display.
- Choose the details shown inside the box for each date.
The Multi Calendar also includes a feature called Show Simplified Price. By clicking Show next to the search by listing option, you can select the simplified price filter. This visually hides repeated prices on the following dates when the price is the same as the previous date, helping keep the calendar cleaner and less repetitive.
Monthly Calendar
In the Monthly Calendar view, you can view one listing at a time and one month at a time.
The dates are larger, giving you a clear overview of what a listing calendar looks like at a glance.
In this view, you can:
- Choose the month and listing you would like to view.
- Go to the listing.
- Create a direct booking by clicking the button in the top-right corner.
- Filter your calendar by clicking Add below the listing name.
From the Add dropdown, you can choose what you would like to display on the calendar, such as reservations, notes, minimum stay, or Sync Status.
Sync Status is only available in the Monthly view. When synchronization is completed, the day will display a green checkmark. When an adjustment is made to the calendar, an orange clock will appear on the affected days. This means the system is starting the synchronization.
If you click on any given date, a new window will open with options to manage that date.
From there, you can:
- Change pricing.
- Set price adjustments.
- Set availability and minimum stay.
- Create rule sets.
- Add calendar notes.
By default, the system shows the current month on the calendar. However, if you switch to Upcoming weeks, you will see the next 35 days, starting from today.
Yearly Calendar
The Yearly Calendar gives you a general overview of all reservations and available dates across all months.
You can select the listing, and if you click on any given date, you will be redirected to the Monthly Calendar view.
Reservation Color Coding
| Reservation Status | Description | Color | Real Example in Calendar |

| Inquiry | Guest date inquiry. Not yet a confirmed booking | Yellow | |
| Airbnb Seasonal Rule | An active Airbnb seasonal rule applies to these dates (e.g., minimum nights) | Light Yellow | |
| Double Booking | Two reservations overlap on the same dates. Requires immediate action | Red | |
| Owner Stay | Calendar blocked for owner use. No charges or invoices generated | Blue | |
| Unpaid | Reservation with pending or failed payment. Still blocks the calendar until resolved | Light Pink |
Visual indicators for unpaid reservations, pets, and children in the Calendar
To display these indicators in the Calendar:
- Open your Calendar.
- Click the "Show" menu.
- Enable Unpaid, Pets, and/or Children.
The selected indicators will instantly appear on your reservations.
Reservations in the Calendar can include visual cues that make it easier to identify specific reservation details without extra clicks:
- Pets — a paw icon appears on reservations that include pets.
- Children — a family icon appears on reservations that include children.
- Unpaid reservations — these are highlighted in light pink, so you can immediately spot bookings that still need to be paid.
These details are also surfaced in the hover tooltip and the reservation detail modal, so the information stays with you wherever you are in the Calendar.
Calendar Notes
Calendar Notes are available in Multi and Monthly views when clicking on any given date.
After selecting a date, scroll down in the pop-up to see the Calendar Notes section.
You can delete or update both past and present calendar notes as needed.
In the Multi and Monthly Calendars, these notes can be viewed when the Notes filter, under Show, is selected, even if there is a reservation on that date.
You can also add notes for multiple dates by updating several dates at once.
