Learn how to include door codes in automated messages and what to check so access details are sent at the right time to the right guests.
How to add a Door Code to an Automation?
If you are using a door code system and want to provide this information to your guest, you can include it in the automated message.
There are 2 ways of using it:
Using Standard Field
You can use a standard field called Door code during the automation creation.
This information comes from the Reservation > Door code field
Note: Please keep in mind that you must enter this information manually in the reservation Door Code field if you do not have the Smartlock feature active or a third-party smartlock integration. If this field is empty in the reservation details, the system will add the door code that is in Listings > Edit > Additional info:
If the option "Automatically generate a door code" or "Use the last 4 digits of the guest’s phone number" is selected, then a door code will appear in the reservation
If a static door code exists in listing settings, but the above options are not selected, then no door code will appear in the reservation
Our system delays sending door-code messages by up to 15 minutes when the door code field is still empty on the reservation. This is intentional - it gives third-party lock integrations a window to push the latest code in via our public API right before guest arrival. Once that window passes, we fall back to the listing's static door code. Please consider this 15-minute delay after the intended trigger time if there is no smartlock integration to fill the door code field automatically, or use a permanent door code in your automation instead of the “door_code” tag.
Using Custom Field
You can create a custom field on the reservation level.
Once created, you will find this field in the reservation details > Custom Fields:
Note: You have to add the door code manually. This custom field can be used in the automation:
In case this information was not added previously (door code) before sending the automated message, the custom field space will be blank.
Important note
- The listing level access code isn’t meant to be filled in the reservation details. Instead, it’s used for automation when there isn’t one set for the reservation
- If you set it to generate a random code or if you set it for the last 4 digits of the phone, it generates the code on the reservation; however, if you set it as a fixed code, it doesn't generate it on the reservation.
- Static door code is not created on the reservation, only a random one or the one with the last 4 digits of the guest's phone number)
