How to create new users?
Users can be given individual access rights to the system or grouped into user groups. All users can have Read, Create, Update, and Delete rights in the system based on all or some listings.
Adding a new User
To create a new user please follow the next steps:
- Go to your Hostaway Dashboard > User Management
- From the "Users" tab > Click on "Add New"
- Fill in the required information
- Save
Note: You cannot create a user with an email address that is already being used in Hostaway. If you receive an error message stating the email address, you can reach us by submitting a request.
Access Permissions
Allowing access to Reservation Financials & Guest Contact data
Depending on the type of user, a user will need access to sensitive financial or guest data.
By default, a new user will not have permission to view financial or guest data.
If allowed, a drop-down under financial data will appear to select which of the existing formulas should be visible to that user. This amount/calculation will be shown on the reservation page, in the monthly calendar (according to the selected event in the dropdown shown in the screenshot), on the Reservations page, in Inbox, and everywhere else.
Access to Inquiries, Requests to Book, and Canceled reservations
If selected, the user can see all reservations. When unticked, users can only see reservations with the status new or modified.
Owner Stays
Some property managers want to allow owners to create "Owner Stays" but not reservations. So you can find a specific row for Owner Stays, separate from reservations:

Depending on the permissions and rights you want to grant, you can choose which actions the user can perform - view, modify, create, or delete.

User Notifications
Notifications allow you to receive Dashboard, Mobile App, and Email notifications. To set up your own User notifications settings please follow the next steps:
- Go to your Hostaway Dashboard > In the top right corner click on the user logo profile > Edit
- Scroll down > Notifications
- Select the notifications you would like to receive
- Save
In User Management, if you have a user already created, click on "Edit", if not click on "Add new" and go to Notifications.
Depending on the user's permissions, you will see more or fewer notification options. If the user has access to see only Reservations and Calendar they will only receive notifications related to those.
Assigning Listings to Users
You can decide which listings the user will have access to. Just check/uncheck the relevant ones as needed. Please note that with the setting "Allow access for newly added listings", you will be given automatic access to newly created listings to the user.
Groups & Permissions
When you use User Groups or choose a permission template from the drop-down box, it will automatically set the rights. It is strongly advised to fill in all the details so you can use it later on with current and new functions in the software.
