Use this guide to set up Inbox AI Replies in Hostaway, enable the feature, and configure the key settings needed before using AI-generated guest responses.
Setting it up
Step-by-Step Instructions
- Log in to Hostaway
- Go to Inbox > AI Replies
- Find the toggle to enable AI Replies
- If disabled, enable the feature - Click the toggle
Once you enable this feature, Hostaway AI will automatically start creating suggested responses for all new guest messages. These suggestions will appear in your inbox, ready for you to review and send.
Note: You'll still have full control - the AI just prepares responses for you to save time.
AI Inbox Responses: Listing-Specific Reply Rules
You can now set AI reply rules that only apply to specific listings
Why is this important?
Because you can have listings where the circumstances differ a lot, and we want to give you full control to fine-tune what the AI generates for those listings.
Accommodates diverse listing circumstances - You often have properties with vastly different characteristics, locations, or target audiences that require tailored approaches
Supports diverse business models - Accommodates you if you manage different types of properties (luxury vs. budget, urban vs. rural, etc.) with varying communication needs
How to set listing-specific AI reply rules
- Navigate to AI Replies
- Go to your Hostaway Dashboard > Inbox
- Click on the AI Replies tab
- Edit an existing rule
- Choose the rule you would like to edit
- At the end of the row, click the 3 dots and the pencil to edit it
- Configure rule settings
- Edit the rule name and status (active/disabled) as needed
- Under "Applies to", choose between:
- All listings - Rule applies to every property
- Specific listings - Rule applies only to selected properties
- Select target listings (if "Specific listings" is chosen)
- Select the Listings you would like the rule to apply to from the dropdown box
- Finalize the rule
- Confirm how AI should craft the replies for these specific listings
- Click Save to apply your changes
This feature gives you granular control over AI responses, ensuring that each property type receives appropriately tailored communication based on its unique characteristics and guest expectations.
