A: Task visibility is restricted to specific users for security and privacy reasons. Only the following users can view a task:
- Task Assignee - The user directly assigned to the task
- Task Supervisor - The designated supervisor of the task
- Group Members - Users who belong to the group the task was assigned to
- System Administrators - Users with admin privileges
Q: Can I give someone visibility to tasks without making them an assignee or supervisor?
A: Currently, the system does not support giving users task visibility without one of the roles mentioned above. This is by design to ensure proper access control and prevent unauthorized users from viewing sensitive task information.
Q: I have Virtual Assistants (VAs) who need to monitor task updates but aren't directly involved. What are my options?
A: For VAs who need to monitor tasks without direct involvement, we recommend the following approach:
Recommended Solution: Create a VA Group
- Create a dedicated group called "VA" or "Virtual Assistants"
- Add all VAs who need task visibility to this group
- Assign tasks to the VA group instead of individual users
- This allows all group members to view and monitor task updates
Alternative Options:
- Make VAs supervisors of relevant tasks (if appropriate for your workflow)
- Use admin privileges for VAs who need broad task visibility (use cautiously)
- Assign VAs directly to tasks they need to monitor
