Guide: Bedrooms, Bed Types, and Bathroom Configurations

Subtitle: Configure your property's physical structure, manage bed mapping, and understand channel synchronization limits for bedrooms and bathrooms.

⚠️ IMPORTANT (DISCLAIMER): Channel API limitations. Not all booking channels support real-time synchronization of bedroom counts, bed configurations, or bathroom details. Manual updates on channel extranets are required for Airbnb and Booking.com after the initial connection.

1. How to Configure Bedrooms and Beds in Hostaway (Step-by-Step)

To set up your bed distribution correctly and avoid system discrepancies, follow these steps in order:

1. Go to your Hostaway Dashboard > Listings.
2. Find the listing you wish to edit and click Edit.
3. In the Basic Info tab, scroll to the Bedrooms and Beds fields and enter the total quantities. Click Save.
4. Navigate to the specific Bed types tab.
5. Click Add new, select the bed type, quantity, and assign it to a specific room number (or "Common spaces").
6. Click Save.

💡 Pro-tip (Consistency Rule): The total number of individual beds assigned in the Bed types tab must match the total number of beds declared in the Basic Info tab. If these totals do not match, the system will display a warning and channels may fail to update correctly.

2. Channel Sync Matrix and Limitations

Booking channels (OTAs) handle structural data differently via API. Below is the behavior for each major channel:

Airbnb

• Bed Sync: No continuous sync. Beds are only exported during the initial listing creation (Full Sync). Any subsequent changes must be made directly on the Airbnb portal.
• Bathroom Sync: Not supported. The number and type of bathrooms do not update from Hostaway to Airbnb and must be managed directly on their extranet.
• Note: If these fields appear "locked" in Airbnb, go to Edit Preferences > Property Management Software in your Airbnb account to unlock these attributes.

Vrbo

• Bed Sync: Yes. Bed types and quantities are synchronized. Note that Vrbo does not read Hostaway room numbers and assigns them automatically on their end.
• Bathroom Sync: Yes, automatically synced from Hostaway's Basic Info.
• Common Space Restrictions: Vrbo only allows one single common space with a single bed type. Multiple common spaces or different bed types in one common space may cause export errors. For best results, assign beds to numbered rooms instead of common spaces.

Booking.com (via API)

• Bed and Bathroom Sync: Data is only transferred during the initial export and connection process. Any later modifications to room layout, beds, or bathrooms must be performed manually in the Booking.com extranet.

3. Troubleshooting and Frequently Asked Questions

How to configure Bunk Beds and Trundles?

Hostaway currently counts each "bunk" structure as one single bed (one physical frame) rather than individual sleeping spots.

• Recommended Solution: If you have a bunk bed (2 sleeping spots) and a trundle (1 spot), you must "split" them in the Bed types tab to show 3 individual sleeping spots on channels. Instead of adding "Bunk Bed: 1", add individual equivalent beds (e.g., "Twin Bed: 3") and ensure the total in Basic Info is updated to 3.

Deprecated "Bed Type" field in Additional Info

If you see a Bed Type field under the Additional Info & Policies tab, please ignore it and leave it blank. This field is deprecated; all bed information is now managed exclusively through the dedicated Bed types tab.

How to perform manual updates on Airbnb (Bathrooms & Beds)

Since the API does not overwrite these parameters continuously, follow these steps in your Airbnb account:

1. Log in to Airbnb.
2. Go to Listings and select the property.
3. Navigate to Rooms and spaces (or "Your space").
4. In Bedrooms or Bathrooms, click Edit to adjust quantities and types, then click Save.
