Subtitle: Differentiate between Channel Collect (VCC) and Host Collect (Guest Cards), set up automated schedules, and prevent duplicate charges.
⚠️ IMPORTANT (DISCLAIMER): Attempting to charge a Booking.com Virtual Credit Card (VCC) before its official activation date will result in an immediate bank decline. Additionally, Booking.com VCCs only hold the exact reservation balance; attempting to authorize damage deposits or extra fees on a VCC will fail due to insufficient funds.
1. The Two Booking.com Payment Models
Understanding who is responsible for charging the guest is critical to avoiding duplicate billing and payment failures:
- Payments by Booking.com (Channel Collect / VCC): Booking.com collects the payment from the guest. They issue you a Virtual Credit Card (VCC) that holds the booking balance (minus channel fees). You must charge this VCC through Hostaway.
- Host Collect (Guest Cards): Booking.com does not collect money. They securely pass the guest's real credit card details to Hostaway, and you are responsible for processing the charges using your connected Stripe or Authorize.net account.
2. Setting Up Auto-Payments for Booking.com
To automate collections for both models, you must configure a dedicated Booking.com template:
- Go to Reservations > Guest Payments > Auto-payments.
- Click Add auto-payment (or edit an existing template).
- Under Channels, select Booking.com strictly.
- Activate the VCC Auto-Charges checkbox:
"If it's a Booking.com VCC, charge the full balance one day after the activation date. For guest cards, follow the auto-charge schedule below."
- Set up your standard payment schedule below for Host Collect (Guest Cards) (e.g., 50% at booking, remaining balance at check-in).
- Click Save.
3. How VCC Auto-Charging Works Under the Hood
Once you check the VCC Auto-Charge option, Hostaway uses smart logic:
- For Booking.com VCCs: Hostaway completely ignores your standard guest card schedule (e.g., 50/50 payments). The system will automatically schedule a single charge for the 100% full balance to execute exactly one day after the VCC's activation date.
- For Guest Cards (Host Collect): The system ignores the VCC rule and executes your custom scheduled payments exactly as defined in the template.
4. Withheld Taxes and Manual Adjustments
- The Issue: If Booking.com withholds taxes, they will deduct that amount from the VCC balance.
- The Fix: Enabling the VCC Auto-Charges checkbox is mandatory in these cases. Hostaway will automatically detect the VCC balance and charge the correct adjusted net amount.
- Note: Because Booking.com does not currently specify the withheld tax details dynamically via API, you should manually add an Offline OTA Charge under Guest Payments for the tax amount to balance your reservation invoice.
5. Troubleshooting Common Booking.com Payment Failures
Error: Card Declined / "No such payment method" before check-in
- Why this happens: This occurs if you try to charge a Booking.com VCC before its activation date (set by Booking.com).
- The Solution: Ensure the VCC Auto-Charges checkbox is enabled. This guarantees Hostaway won't attempt to process the VCC until it is funded and ready.
Error: VCC declined when attempting to pre-authorize a damage deposit
- Why this happens: VCCs are single-use virtual cards capped at the exact booking total. They have no extra credit limit to hold security deposits.

The Solution: Send the guest your Guest Portal Link. Ask them to upload their personal credit card details under the portal. Once added, process the damage deposit hold manually on the guest's personal card instead of the VCC.
The VCC is active, but the auto-charge did not trigger
- Why this happens: Auto-payment templates only apply to new reservations created after the rule is saved in Hostaway.
- The Solution: For existing bookings, you must charge the VCC manually. Open the reservation, scroll to Guest Payments, click the three dots (...) next to the charge, and select Charge Now.
