Learn how to archive messages in the Hostaway Inbox, when to use archiving, and how it affects conversation visibility.
Automatic Archival
As of October 2025, we are automatically archiving conversations that:
- Past the checkout date of the reservation
- Have had no new incoming or outgoing message for 7 days
Archived conversations are still automatically unarchived if a new message is received.
This helps guarantee a great experience, performance-wise, for those who use our unified inbox.
How to Archive Messages?
You can archive the message threads to hide them from the main Inbox.
To archive a message:
- Select the thread
- Click on the Archive icon in the actions bar
- The thread will be moved from the Inbox to the Archived Conversations
- Moving it back to the Inbox is done the same way
Threads will automatically move from archive to inbox if the guest sends a message, but not if the host sends one. Threads cannot be both archived and snoozed at the same time.
How to Bulk Archive Messages?
To bulk archive messages, you will need to go to the Inbox > Bulk Update
Click the dropdown for "Mark message threads as" and select "Archived". Below, you should select the date that you prefer to decide which messages the system will archive for you.
Important: Depending on the number of messages to be archived, it can take between a few minutes and a couple of hours.
