1. Owner statements
How do I create an owner statement?
Go to Dashboard → Owner Statements → Statements tab → Add Statement. Select the owner and properties, set the period, review the calculated figures, then save.
What information appears on a statement?
Rental activity (reservations, revenue, fees), expenses, and the calculated owner payout — based on your formulas and the fields you choose to display.
Can I customize what fields display on statements?
Yes — statement display can be customized so only the financial fields you want are shown, matching your reporting style.
Can I create statements per property or per owner?
Yes — statements can be scoped to specific properties and assigned to specific owners. Note that a listing can only have one owner in Hostaway; co-ownership situations need to be handled through formulas and separate statements, not by assigning multiple owners to the same listing.
Can I download or print statements?
Yes — statements can be downloaded from the statements list and shared with owners.
Why are expenses from another listing showing up on this owner's statement?
An expense is pulled into a statement if either its date + listing match the statement, or its date + owner match — not both. If an expense has an owner assigned (rather than just a listing), it becomes eligible for every statement for that owner, regardless of listing. Fixes: create one statement per owner covering all their listings; hide the unwanted expenses manually on the statement; or remove the owner from those expenses and leave only the listing.
Can I add a reservation from last month to this month's statement?
No. A statement pulls reservations based on the event (check-in, check-out, etc.) and date range you set — a reservation outside that window can't be added, even if it's unpaid or carried over. You can hide reservations that are in range, but you can't add ones that are out of range.
How do I publish a statement and send it to my owner?
Review the statement, then publish it to make it available to the owner; use the built-in Send option to email it. Owners with portal access can view published statements.
Can I still edit a statement after publishing?
Statements are static snapshots — they don't recalculate automatically after data or formula changes, and published statements are locked. To update, refresh, or regenerate the statement.
2. Owner access & portal
How do I create owner accounts and give owners access to statements?
Create a user for each owner and assign the Owner role/permissions (including owner statement access). Owners then log in to view their statements.
Can I control what owners see — and preview their view?
Yes — owner permissions control visibility of statements and data; you can create a user with owner settings for you to test.
An owner says they can't see their statement — what should I check?
Confirm the statement is published, the owner has statement permissions, and the statement is assigned to that owner; then have them refresh or re-login. Note for owners: if your property manager hasn't given you access to a particular statement or figure, that's their call to make — Hostaway support can't override it, so reach out to your property manager directly.
Can owners edit statements?
No — owners have view-only access to published statements.
3. Automation & scheduling
How do I automate owner statements?
Create an auto-statement: set the frequency (e.g., monthly), the day of the month, owner/properties, and whether statements are auto-published/emailed.
Can I set up one auto-statement template that covers all my owners?
No — auto-statement templates are per owner, because the underlying data is stored individually per owner and statement. If you manage many owners, duplicate and tweak a template rather than trying to build one universal template; it's a one-off setup cost.
Can I add expenses before a scheduled statement generates?
Yes — enter expenses before the generation date so they're included; otherwise, edit the draft statement after it generates.
Do statements email automatically? Do owners get notified?
Auto-statements can email owners on generation/publish depending on settings — verify each owner's email address is correct.
The statement email didn't arrive (or arrived as a ZIP) — what now?
Check spam/junk first; statement emails can arrive as ZIP attachments. If it's still missing, verify the owner's email and contact support.
4. Payout timing & money movement
When will I get paid?
Payout timing depends on the channel and your payout settings; your reservation financials show expected payout dates (channels may pay on different schedules).
How do I send money to owners (Stripe)?
If you collect payments via Stripe, owner payments are handled through your Stripe setup, and commission can be deducted automatically — confirm the specifics with your specialist.
How do I set up the bank account for payouts?
Payouts go to the bank account connected in your payment settings — keep it up to date to avoid delays.
