Learn how to export reservations from Hostaway as a CSV file and use reservation data for backup, reporting, or external analysis.
How to export reservation details
You can choose to download a complete reservation list as a CSV file to analyze data and report on your transactions. The file can be opened by a program such as Microsoft Excel or Google Sheets to generate completely custom tables.
You can download this file by going to Reservations > Download Report:
You can choose to export either the visible fields you see or the complete list.
For example, to download a report that includes the number of guests per reservation across all booking channels (VRBO, Airbnb, and Booking.com) in 2023, navigate to the 'Reservations' section, select the 'Reservation CSV' option, and ensure the 'Number of guests' column is included. You can then filter the data by channel to view the guest count breakdown for each reservation.
Note: The guest data available for export via the Download Guest Data button is populated by the Online Check-In Form. Ensure this feature is active to access and display the corresponding Guests section on your reservation pages.
Creating a 12-month reservation report
To create a 12-month reservation report for your property, go to the Reservation area, select all available filters, and export the CSV file with relevant fields, such as bedding configuration, number of guests, guest name, check-in, check-out, total price, and status.
Accessing and retrieving backup files
To access and retrieve backup files for your Hostaway listings, go to the Reservations section, apply the necessary filters to find the specific listings, and then export the reservation data as a CSV file. This will allow you to download a backup of the reservation records for the selected listings, which can be useful if you need to maintain data integrity or access reservation details for units that are no longer under your operations.
