Improved Notes Functionality for Reservations
1. What is the idea/improvement you'd like to see implemented?
We propose an improvement to the Notes functionality within reservations to ensure that internal notes remain visible and easily accessible, even when new guest messages arrive. This could include:
- A persistent notes section within the reservation details, ideally in the right-hand window when expanding a reservation.
- A visible indicator (such as a flag, pin, or icon) on the reservation to alert team members that an internal note has been added.
- The ability to pin or flag guest conversations so important internal updates (such as damage reports or refunds) don’t get lost within guest messages.
2. What problem would this solve for you?
Currently, when a team member leaves an internal note on a reservation, it gets buried within guest messages if the guest replies, making it difficult for other team members to find.
There is no clear way for the rest of the team to see that a note has been added unless they manually check the messages. This creates challenges in internal communication, especially when handling cases like damage claims, refunds, or special guest requests where multiple team members are involved over time.
3. What are you currently doing to work around this issue?
At the moment, we either:
- Repeatedly search through the guest conversation to find previous internal notes, which is inefficient.
- Use external communication tools (such as teams, email) to track important notes, creating fragmented workflows and increasing the risk of missing key information.
A more visible and structured notes system within the reservation itself would greatly improve internal collaboration and efficiency.
