Lock box codes
The rural area the properties my company manages often has power outages and internet service interruptions, we have an manual backup lock box at each property and we would like the monthly codes to be preloaded and automatically appear or load on the reservation task.
Currently for each reservation we have to manually fill in the door code for each reservation, it is time consuming and a flawed process for 70+ properties.
Advance Reservation Deposits
There needs to be an "Advance Reservations Deposit" report where a property manager can accurately track the advance deposits on hand to manage cash flow. Hostaway is going to have to modify just putting paid on the reservation when a guest makes an Airbnb reservation or reservation from another channel (Booking.com, Expedia) and the payments will have to affect the real time payment to the property manager. The property manager currently cannot mange cash flow on this issue.
Reservation Enhancements
The reservation details screen needs to be streamlined and have the following functionality to provide an easier experience for the host and guest:
There should be functionality buttons with the following options:
(1)Generate Email Button
drop down menu to email tasks
(request payment, send tasks or templates that are generated, send a receipt or inquiry). The are 4-5 steps to click and copy the information to the guest portal and this is not sufficient for group reservations with multiple properties. The guest also cannot forward the email to other people in their group in the guest portal
(2) When downloading an invoice for a customer, the system does not show an updated payment status, the receipt should reflect updated payment status and information and what the current balance is. There should also be a functionality button to email the invoice. When multiple properties are rented by the same guest, having to go through 4-5 steps in unacceptable and the process needs to be made more user friendly.
(3) There should be a "Housekeeping Note" section for that reservation that is linked to the assigned housekeeper for that particular reservation that appears for the housekeeper
(under user management there should be an option to check the box if the user is a housekeeper to receive the "housekeeping note") so a specific reservation can have a certain note to enhance customer service options. For example - make sofa bed, late check out, leave out pack n play and high chair, etc.
(4) If a change is made to a reservation where a guest has stayed 1 or more nights at a certain property and then has to change to another property (mechanical issue, power outage, etc) there should be a way to enter a multiple property reservation, calculate the amounts for each property based on the arrival and departure date and easily adjust the payment. Most of the reservations are paid in full on the day of arrival, so the payment has to be split over 2 reservation stays.
The current process is time consuming and leads to financial errors for the host to potentially loose money if the reservation is calculated incorrectly by the staff member inputting the change. This is also a standard and common customer service option regularly performed by host and these features should be much easier for the host for accuracy.
Booking Engine
Inquiries and quotes should be able to be sent from the Booking Engine page, this is a standard customer service feature regularly used.
There should be options to send all available properties from the Booking Engine Page for certain dates, this is an important feature for guests reserving multiple properties that want to check availability.
